Privacy Policy

Overview

This policy covers PourLog Field (the “App”) and pourlog.io (the “Site”), together “PourLog,” “we,” or “us.” PourLog helps concrete contractors turn voice notes and batch ticket photos into structured pour logs and reports. This policy explains what information we collect, why we collect it, who we share it with, and the choices you have.

Information We Collect

Account and organization info. Your name, email address, the company/organization you belong to, and your role (Owner, Foreman, etc.) when you create an account or join a team.

Voice notes. The audio you record for a pour log, plus the text transcript and structured data (yards, PSI, slump, crew, conditions) generated from it.

Batch ticket photos. Photos you take of batch tickets and the mix design, slump, air content, and other values our system reads from them.

Cylinder and project records. Cylinder IDs, break-test schedules and results, project names, and notes you or your team enter.

Location.When you record a voice note, capture a batch ticket, or log a cylinder, the App attempts a best-effort, foreground location fix (latitude and longitude) so we can attach local weather conditions and the correct project to that entry. This never blocks the entry if a location isn’t available, and you can deny location permission at the OS level at any time.

Weather data. Using the location above, we pull historical temperature, humidity, wind, and precipitation for the time of the pour.

Device and push notification data. A device push token if you enable notifications, so we can send report-ready and approval alerts.

Payment information. Billing is handled entirely by Stripe. We never see or store your full card number — Stripe’s hosted Checkout and Billing Portal handle that directly, and we only receive subscription status (active, plan, renewal date) back from Stripe.

Analytics and crash data. Basic product-usage events and crash/error reports from the App and Site, described further below.

Waitlist and marketing emails. If you join our waitlist or sign up for updates, we collect your email address to send you product updates. Every marketing email includes an unsubscribe link.

How We Use It

We use this information to run the App (turning your voice notes and photos into pour logs and reports), send the reports and alerts you or your team ask for, bill your subscription, provide customer support, fix bugs, and improve the product. Voice notes and batch ticket photos are sent to our AI provider solely to transcribe and structure them into a pour log — never for advertising or to train anyone’s general-purpose models.

AI Processing

Voice note transcription, batch ticket data extraction, and pour log structuring are performed by OpenAI (Whisper and GPT-4o), under a standard API agreement. Audio, photos, and transcripts are sent to OpenAI only to produce your structured pour log and are not used by OpenAI to train its models under our account terms.

Who We Share It With

We don’t sell your data, and we don’t use it for cross-app or cross-site ad tracking. The App itself contains no advertising or cross-app tracking SDKs. We share data only with the service providers (subprocessors) that help us run PourLog, each bound by its own confidentiality and data-processing terms:

  • OpenAI — voice transcription, batch ticket reading, and pour log structuring
  • Stripe — subscription billing and payment processing
  • SendGrid (Twilio) — transactional and marketing/waitlist email delivery
  • Vercel — application hosting, and Vercel Blob storage for audio recordings and batch ticket photos
  • Inngest — background job processing for transcription and report generation
  • Expo — delivery of mobile push notifications
  • OpenWeatherMap — historical weather lookups tied to a pour’s location and time
  • Sentry — error and crash reporting in the App and Site
  • PostHog — in-app and on-site product usage analytics
  • A Postgres database hosting provider — stores your account, organization, and pour log data

On the pourlog.io marketing website only (not inside the App), we also use Fathom Analytics for privacy-friendly site analytics, and Meta (Facebook) Pixel and Reb2bto measure and improve our marketing and advertising. These run only on the public website when you visit pourlog.io in a browser — they are not present in, and do not receive data from, the PourLog Field app. We may also share information if required by law, or as part of a merger, acquisition, or sale of assets, in which case we’ll provide notice before your data becomes subject to a different privacy policy.

Data Retention

We keep your pour log data, voice notes, transcripts, and batch ticket photos for as long as your account is active, since they form the compliance and project record our customers rely on. If you close your account, we delete your account and personal data within 30 days, except where we’re required to keep records longer for legal, tax, or dispute-resolution reasons.

Security

We encrypt data in transit (TLS) and at rest with our infrastructure providers, restrict internal access to what’s needed to operate the product, and use our subprocessors’ own security programs (e.g., Stripe for payment data) rather than handling sensitive data ourselves where we can avoid it. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard practices.

Your Rights

Wherever you’re located, you can ask us to:

  • Access a copy of the personal data we hold about you
  • Correct inaccurate information
  • Delete your account and personal data

To exercise any of these, email shane@pourlog.io. We’ll respond within 30 days.

How to Delete Your Account

The fastest way to delete your account is in the app: Settings → Delete Account. You’ll be asked to confirm, and deletion happens immediately — no waiting on email. If you’re the only Owner on your organization, this also deletes your organization and all of its data (projects, pour logs, voice notes, and photos); if your organization has other crew or Owners, they keep that data and your organization stays active.

You can also email shane@pourlog.io from the address on your account and ask us to delete it for you. We’ll confirm your identity and handle it the same way, within 30 days.

California Residents (CCPA/CPRA)

If you’re a California resident, you have the right to know what personal information we collect, request deletion of it, correct inaccurate information, and not be discriminated against for exercising these rights. We do not sell or share (as “share” is defined under the CPRA) your personal information, and we do not use or disclose sensitive personal information for purposes beyond providing the App. To make a request, email shane@pourlog.io.

Children's Privacy

PourLog is a business tool for construction professionals and is not directed to, and should not be used by, anyone under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we’ll delete it.

International Data Transfers

PourLog is based in the United States, and our service providers store and process data primarily in the U.S. If you access PourLog from outside the U.S., your information will be transferred to, stored, and processed in the U.S., which may have different data protection laws than your country.

Changes to This Policy

We may update this policy as PourLog changes. If we make material changes, we’ll update the effective date above and, where appropriate, notify you by email or in the App. Continued use of PourLog after a change means you accept the updated policy.
